Managing Your Account, Team & Billing

Invite team members, set permissions, update billing info, and manage your plan.

Invite Team Members

Go to Settings → My Staff → + Add Employee. Enter their name, email, phone, and assign a role. An invitation email goes out; they click to set a password and join. Each user is a distinct login with their own activity tracking.

User Roles

Admin: full access including billing and settings. User: operational access but cannot modify billing, account settings, or remove other users. Custom permission profiles let you fine-tune access for specific roles (e.g. a VA who can manage contacts but not send campaigns).

Permission Profiles

Go to Settings → Permission Profiles → + New. Granularly control access to each section: Dashboard, Contacts, Conversations, Opportunities, Calendars, Sites, Marketing, Automations, Reporting, Payments, Settings. Save the profile and assign to users. Use least-privilege — only give each user access to what they need.

Calendar & Pipeline Assignment

When a new user is added, they will not automatically appear in round-robin calendars or pipelines. Go into each calendar's settings and pipeline's settings and explicitly add them. Missing this step is the most common reason new hires feel like they do not have access to the right accounts.

Billing Overview

Go to Settings → Billing. See your current plan, next invoice, payment method, and billing address. Download past invoices here. Update your payment method before it expires to avoid account lockout — we send warnings but auto-pause the account if payment fails after retries.

Upgrade or Downgrade

Plan changes are self-serve from the Billing page. Upgrades take effect immediately and prorate. Downgrades take effect at the end of the current billing cycle. If you need to discuss a custom plan or add-ons, book a call.

API Keys & Integrations

For custom integrations or connecting to Zapier/Make, generate API keys from Settings → API Keys → + Create. Treat these like passwords — anyone with the key has full account access. Rotate keys if you suspect exposure or after a team member leaves.

Closing Your Account

Account closure is handled via support — email jp@videocartel.net. We will export your data in a format you can reimport elsewhere and confirm the closure date. Data is retained for 30 days after closure in case you change your mind.
