Creating Booking Calendars & Availability

Public booking links, team calendars with round-robin, buffer times, reminders, and the settings that actually reduce no-shows.

Calendar Types

VC Suite supports four calendar types. Personal: one person, one link. Round Robin: multiple team members, auto-assigned based on availability or rotation. Collective: multiple people required on the same booking. Class/Group: many attendees at a fixed time slot. Pick the right type up front — changing later means rebuilding the embed.

Create a Calendar

Go to Calendars → + New Calendar. Name it for its purpose (Discovery Call, 30-Min Strategy). Set duration, buffer before and after (a 10–15 minute buffer prevents back-to-back burnout and gives you time to prep), and maximum bookings per day.

Availability Rules

Define working hours. Be realistic: if you only take calls 2–5 PM on Tuesdays and Thursdays, say that. Overly generous availability leads to burnout and last-minute rescheduling. Block holidays and recurring commitments in your underlying Google or Outlook calendar, and VC Suite will automatically honor them.

Form Before Confirmation

Attach a qualifying form to the booking flow. Ask 2–4 questions max: what are you looking for, what is your budget range, any context you think I should know, how did you hear about us. This doubles as lead qualification and meeting prep.

Confirmation & Reminders

In calendar settings: enable email confirmation immediately on booking, email reminder 24 hours before, and SMS reminder 1 hour before. Each of these independently reduces no-shows by 10–20%. All three together cut no-shows roughly in half.

Custom Confirmation Email

Replace the generic confirmation with something personal and useful. Include: what to expect on the call, what you will need them to bring or think about beforehand, a reschedule link, and your phone number for emergencies. A thoughtful confirmation sets expectations and increases show rate.

Embed on Your Site

Get the embed code from Calendar Settings → Embed. Use the inline embed for landing pages; use the popup or button embed for general-purpose CTA placement. Test on mobile — embeds sometimes render awkwardly on small screens.

No-Show Recovery

Build a workflow triggered by Appointment No-Show. Actions: wait 4 hours, send an SMS offering a reschedule link, wait 24 hours, send an email with a different angle. A structured no-show loop recovers 20–30% of missed calls.
